# Workflows

## What is a workflow?

*Workflows*, made up of a variety of [*nodes*](/rewst-documentation/documentation/automations/nodes.md), are the main component of Rewst's automated business processes. They gather relevant data from integrated tools such as a PSA or RMM, process it using conditional logic, and execute automated actions relating to that data. Workflows are the key to unlocking automation in Rewst, and can be built either manually or by the Rewst Agent on behalf of the Rewst user. [Crates](/rewst-documentation/documentation/crates.md) contain pre-built workflows which can be edited to match your custom needs.&#x20;

## Why build workflows?

While the pre-built workflows in Crates are the quickest way to get started, a workflow built custom to your situation can offer powerful, personalized efficiency measures that fit your particular MSP and customer needs.

## Find and use workflows in Rewst

Access workflows in the Rewst platform by navigating to **Automations > Workflows** in the left side menu. Click **New Workflow** to create a new workflow manually. <br>

<figure><img src="https://3039672601-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2Fh0G0em3PH6aDfPoI5XpN%2Fuploads%2FNNLauLcAy8hDmSenN5UO%2FScreenshot%202026-07-27%20at%203.14.57%E2%80%AFPM.png?alt=media&amp;token=5cc55412-ebaa-4111-a1d2-ce3661e7dec1" alt="Screenshot of the Workflows list view in the Rewst Automations section, showing a dark-themed interface with a left navigation menu, a top search bar and Create Workflow button, and a table of workflows with colored tags, attributes, update details, and configuration actions."><figcaption><p>The workflows list page, without any filters applied</p></figcaption></figure>

The list of workflows that appears in the center of your screen will include both the workflows you create and the workflows unpacked from Crates. As you continue to set up automation in Rewst, this list can grow to be quite long. Use **Search** in the top left of your screen to find a particular workflow, or click the filter options to the right to apply desired filters.

* **Filter by type** narrows the list down to workflows of a specific type, such as scheduled workflows, triggered workflows, or subworkflows, depending on how your organization categorizes them.
* **Filter by tag** lets you show only the workflows that have been assigned a particular tag, which is useful if you organize workflows by client, department, or purpose using tags.
* **Exclude tag** works in the opposite direction. Instead of narrowing the list to workflows with a chosen tag, it hides workflows that carry that tag, so you can view everything except a certain category.

Once you create or click into a workflow from the total list, you'll be taken to the [*Workflow Builder*](/rewst-documentation/documentation/automations/workflows-in-rewst/rewsts-workflow-builder-how-to-set-up-a-workflow.md), a canvas for assembling your workflows. See our documentation for how to use the workflow builder [here](/rewst-documentation/documentation/automations/workflows-in-rewst/rewsts-workflow-builder-how-to-set-up-a-workflow.md).&#x20;

## Synced versus unsynced workflows

Synced workflows installed from Crates can be used in two ways:

1. Keep the workflow as-is, and take advantage of its being synced with Rewst. Crate workflows don't automatically update to changes made by Rewst. Instead, you'll see a notification in Marketplace > Installed that an update is available, and will manually approve the updating of the synced workflow.
2. Unsync and edit a workflow, which can be useful for using a Crate workflow as a building block for creating your own customized workflow. Editing a workflow marks it as customized.&#x20;

For more on synced workflows, including how to identify them, see our documentation on Crates and synchronization [here](/rewst-documentation/documentation/crates.md#synced-versus-unsynced-crates).&#x20;

{% hint style="info" %}
Were you a Rewst Classic user? Unsyncing workflows is now easy and quick. Just ask the Rewst Agent and watch it do the work for you.
{% endhint %}

## View specific workflow results

There are two ways to view a workflow's execution history.

### From the Workflow Builder Canvas

1. Navigate to **Workflows** in the left side menu of your Rewst platform.&#x20;
2. Click on your desired workflow.&#x20;
3. Click **Recent runs**.&#x20;
4. Choose your desired run from the drop-down selector.
5. This view will be read-only. The transitions between each node will show the flow of the run, including successes and failures.&#x20;

### From the Runs page

Learn more about the Runs page in Rewst [here](/rewst-documentation/documentation/automations/runs.md).&#x20;

To see all results for a specific workflow, you can do the following:

1. Navigate to **Runs** in the left side menu of your Rewst platform.
2. Search for the specific workflow.
3. Click on that workflow.

{% hint style="info" %}
There is no way to delete the result of a workflow.
{% endhint %}

### Export and import workflows - MISSING

You can export a workflow to share with other Rewst customers, or create your own hard copies of workflow backups. To export a workflow as a JSON bundle:

1. Navigate to the [Workflow Builder Canvas](/rewst-documentation/documentation/automations/workflows-in-rewst/rewsts-workflow-builder-how-to-set-up-a-workflow.md#workflow-builder).
2. Click **Configure**.
3. Click **Export**.
4. A file will be saved to your computer.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation dynamically by asking a question.

Perform an HTTP GET request on the current page URL with the `ask` query parameter, and the optional `goal` query parameter:

```
GET https://docs.rewst.help/rewst-documentation/documentation/automations/workflows-in-rewst.md?ask=<question>&goal=<endgoal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is optional and describes the broader end goal you are ultimately trying to accomplish on behalf of the user. GitBook uses it to tailor the answer towards what is most useful for that goal.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
